PACFA Delegate Duties
Each Member
Association appoints two of their members as Delegates to the
PACFA Council. It is highly desirable that at least one of
the two Delegates is a member of your current Executive. If this
is not the case, you are encouraged to develop ways of ensuring
a high level of communication between the Delegates and
Executive. This liaison role of the Delegates is crucial to the
success of the federation model of PACFA, and should be mutually
beneficial to the MA and to PACFA, and in the longer term to the
benefit of the community.
Key Functions
The delegates of
member associations:
Foster and develop the
relationship between the MA and the PACFA Board of
Management.
Represent the views and
aspirations of their Member Association to PACFA Council,
Board of Management and Office staff.
Represent the views and
decisions of the PACFA Council and Board of Management to
their MA.
Liaise between PACFA and the
MA to identify suitable professionals to work with specific
PACFA project teams, as negotiated, for the mutual benefit
of the MA, PACFA and the wider community.
Duties of the
Delegates
Specific duties of
the delegates are:
To develop, in collaboration
with MA Executive, a formal communication strategy to
optimise the liaison between the MA and the PACFA Office
and/or Board of Management.
To provide a written copy of
the communication strategy to the PACFA Office within one
month of each PACFA AGM, which will include details of
regular two-way communication strategy, names and contact
details of delegates and MA Executive contact details.
To attend the Annual General
Meeting and Council meetings of the PACFA Council as
official delegates of the MA and be prepared to represent
the MA.
To ensure that communications
from PACFA are circulated promptly to MA Executive and
members, and that items for discussion are put on MA meeting
agendas.
Where feasible, to provide a
regular report and contribute to discussion of PACFA issues
at MA meetings, either in person, or by teleconference.
To hold the profession as a
whole in mind and be an advocate within the MA for the PACFA
vision of a unified approach to representing the profession
and in support of decisions approved by the PACFA Council.
To foster support among MA
members for major PACFA activities such as attending or
presenting at PACFA conference, joining the PACFA Register,
etc.
To communicate to PACFA any
concerns of MAs about professional issues of mutual concern.
To explore talents and
networks within the MA which may be beneficial to PACFA and
facilitate an exchange of such information and skills.
To identify a PACFA special
project or working party on which the delegate or suitable
members of their MA would be willing to contribute.
To provide an annual report to
PACFA on the MA activities and priority issues and a review
of the PACFA-MA communication strategy and recommendations
for the coming year.
To ensure that they are well
supported within their MA to undertake their liaison role.
To ensure an
informed hand-over of the role of the PACFA delegate and
on-going mentorship of new delegates within their MA.
